NextCrew 2.0 · October 22, 2026
Release 4.10
Two big ones this month. CrewPilot AI can now do work for you when you ask, not only answer questions. And bringing your data into NextCrew 2.0 has been rebuilt from the ground up. Plus a handful of smaller things you will notice the first time you use them.
In this release
- CrewPilot AI ask it to create and approve, including the timesheets you select
- Data Import rebuilt for NextCrew 2.0: pick what to import, fix problems before anything is saved
- Timesheet statuses now read the same in the client portal and in your view — the one change that happens on its own
- Invoices see the invoice number on a timesheet, and amounts round to two decimals
- Channels group chat is live in the NextCrew app, and people are told when they are added to a channel
- Zapier connect NextCrew to thousands of other apps, no code needed

One thing changes on its own
Everything else in this release waits for you to go and use it. This one does not.
Timesheet statuses now match between the client portal and your view
Your clients approve timesheets in the client portal. Until now, the status they saw on a timesheet did not always use the same words as the status you saw on the same timesheet.
That is fixed. Both sides now show the same status, so when a client says a timesheet is approved, you are both looking at the same thing.

CrewPilot AI can now do the work, when you ask
Ask CrewPilot to create and approve
CrewPilot AI has always answered questions about your data. Starting with this release, you can also ask it to do things: create records and approve work, in plain words, from the same CrewPilot panel.
One example most teams will use every week: review and approve the timesheets you select. Pick the timesheets, ask CrewPilot to approve them, and it takes care of it.
Another: when a client emails you a job, copy the text of the email into CrewPilot and ask it to create the job.

Data Import, rebuilt for NextCrew 2.0
Getting your records into NextCrew used to mean a spreadsheet, a template and hoping nothing broke on the way in. Data Import has been rebuilt from the ground up in NextCrew 2.0.
- Choose what you are importing, then download the template for it. Jobs can now be imported too.
- Match your columns to NextCrew’s fields, instead of reshaping your spreadsheet to fit.
- Review before anything is saved. Your import starts as a draft. NextCrew shows you the rows with problems so you can fix them first, and you can add rows to the draft as you go.
- AI helps along the way, so fixing problem rows takes less back and forth.
- Clear steps from start to finish, with counts that show how many rows are ready and how many need a look.
Still on NextCrew Legacy? The Legacy import is still linked from the new screen while you switch. Switching to NextCrew 2.0
Also new
Also new since Release 4.9
Two things shipped between releases. If you missed them, here they are.
Group chat is live: Channels in the NextCrew app
Channels puts your team, your Crew and your clients in one conversation for a job or a team. Your team runs it from NextCrew on the web, your Crew read and reply in the NextCrew app, and clients take part by email.
New in this release: people are now told when they are added to a channel, so nobody misses the first message.
Your Crew need the latest NextCrew app. Android usually gets updates first, iPhone a day or two later, and agency-branded apps can take up to a week longer.

NextCrew now connects to Zapier
Zapier links thousands of everyday apps together. With the NextCrew app on Zapier, a change in NextCrew can update your other tools, and your other tools can create records in NextCrew. No developer and no code.
It works with five kinds of records: Crew, clients, jobs, timesheets and invoices. A few examples of what agencies set up:
- A new Crew Member is added → add them to a Google Sheet or your email list.
- A timesheet is updated → post a note to your team in Slack or Microsoft Teams.
- A client fills in a form on your website → create the client in NextCrew.
- A job is created → put it on an Outlook calendar.
The Zapier app is available as an add-on. To turn it on, or if you have questions about what it can do for your agency, contact your NextCrew account manager.

New
Smaller things you can now do
See the invoice number on a timesheet
Once a timesheet has been invoiced, its detail now shows the invoice number. "Has this been billed yet, and on which invoice?" is answered without leaving the timesheet.
Jump to another client without going back to the list
While you are looking at a client’s details, you can now search for another client and go straight there.
Open attachments in the email tracking report
When you look at a sent email in the email tracking report, you can now open its attachments too. The proof of what you sent, and what was attached, sits in one place.
Disabled Crew Members are flagged on a client’s Crew list
A client’s Preferred and Not Allowed Crew list now shows when a Crew Member’s account is disabled. A disabled account cannot sign in, so it is worth tidying those lists when you see the flag.
Note templates and categories on more screens
Note templates and note categories now work on more screens, so the same tidy, consistent notes go everywhere your team writes them.
See how: Add notes and note templates
A permission to manage administrators
There is a new permission that lets a user manage other administrators. Give it only to the people who should be adding, changing or removing administrator accounts.

Fixed and improved
Line of Business fills in when a client creates a job
When a client user created a job from the client portal, its Line of Business was left empty. It now fills in, the same way it does when your team creates the job.
Invoice amounts round to two decimals
Amounts on invoices now round to two decimal places, so what you send matches what your client expects to pay, to the cent.

Under the hood
Behind the scenes
CrewPilot AI runs on an upgraded engine this release, which gives clearer answers and better follow-up questions when a request could mean more than one thing.
There is also more platform groundwork. None of it changes how anything works today. It makes the next set of features quicker to build and less likely to break something else on the way.
