Welcome! Your staffing agency uses NextCrew to fill your jobs. This guide shows you how to order staff, see who is coming and approve their time.

What NextCrew does for you

  • Order staff in a few minutes, any time of day.

What you can see and do depends on how your agency set up your access. If something here isn't on your screen, ask your agency.


1. Sign in

Your agency sets up your login. NextCrew then emails you the sign-in link and your details. NextCrew works in any web browser, so there's nothing to install.

2. Order staff

Go to Workspace › Calendar and choose Add Job.

Enter the title, position, how many people you need, the dates and times, and where they'll work. Then choose Add. Need more shifts like it? Choose Add Another.

Your agency gets the order right away and starts filling it.

3. See who's coming

Each job on the calendar shows how many spots are filled, for example 3/5.

Click a job to see the Crew who are Confirmed, Interested, Requested or Canceled. Want someone who has worked for you before? Choose Invite.

4. See who's on site today

Your Home dashboard can show today's Crew, their shift times and whether each person is on site. Choose ADD to add more views to your dashboard.

5. Approve timesheets

Go to Operation › Timesheet. Check the hours for each person.

Choose the green check to approve, or the red X to decline. A decline goes to your agency, so they can fix it. To approve many at once, tick them and choose Approve.

Open a timesheet to compare the scheduled and actual times and see where the person clocked in and out.

Your approval marks the timesheet Client Approved. Your agency then finishes it for payroll and billing.

6. Rate your Crew and check invoices

In an open timesheet, add a Review for the person who worked. Your feedback helps your agency send you the right people.

Go to Accounting › Invoices to see and print your invoices.

On your phone

The NextCrew for Managers app lets you add a job and see who is confirmed. Approving timesheets is done on the web.

Who to contact

Your staffing agency is your contact for everything: your login, your orders, the Crew and your invoices. Choose Support at the top of any screen to find help guides.
