AI Across NextCrew: What It Needs and Where It Works

Modified on Wed, 28 Oct at 4:50 PM

AI only helps a staffing agency when it has good records to read and a clear way of working to follow. This guide shows what CrewPilot AI needs from you, where it already works in NextCrew, and how to try it today.

Summary

CrewPilot AI is built into NextCrew 2.0. It reads what happens across your agency (new applicants, clock-ins, credentials, job changes, invoices) and sorts it, so your team sees what needs attention. You can ask it questions in plain words, have it draft a job from a client's email, check timesheets before you approve them, or draft a reminder email. It suggests and drafts; your people decide. A lot of what runs on its own in NextCrew, such as reminders and timesheets built from clock-ins, is workflow automation, not AI. What usually goes wrong is data: if Crew records, job addresses and timesheets are incomplete, AI has less to work with.

How to do it

  1. Open CrewPilot from the sparkle icon in the system tray on the right of the screen.
  2. Ask a question in plain words, such as "Who is working today?"
  3. Click View steps to see how it reached the answer, and open the records it shows.
  4. Open CrewPilot AI in the left menu to see the AI Command Center.
  5. Click an item in the Command Center to open the record and act there.
  6. Pick one task this week (a job from a client email, or a timesheet check) and let CrewPilot help with it.

That's CrewPilot in use. Everything below is for when you want to know what it needs, where it works in each area, and where AI stops and your team takes over.

Why it matters

  • Clients trust you when nothing slips: an expiring license, a late clock-in or a job change gets seen before the client notices.
  • Crew stay loyal when they get clear, fast answers and the right jobs, because your team isn't buried in searching and retyping.
  • Your team builds relationships when AI does the reading, sorting and first drafts, and people spend their time on calls, clients and decisions.

What AI needs to work

AI is only as good as what it reads and the way of working around it. Three things make the difference.

Good data.

  • Complete Crew records: positions, licenses and certifications with expiry dates, availability and resumes.
  • Jobs with the right address, picked from the address search, and the right client contacts.
  • Timesheets that come from clock-in and clock-out in the app, not typed in later.
  • Notes on the record when something changes, so the reason is there for anyone who reads it later.

Clear processes.

  • One way to take an order, fill a job, approve hours and invoice. When everyone does it the same way, AI can tell what's normal and what needs a look.
  • Your rules set up in NextCrew (reminder timing, no-show minutes, onboarding workflows), so the system follows them every time.

Your people deciding.

  • CrewPilot suggests, drafts and checks. It doesn't book Crew, pay anyone or approve anything on its own.
  • Your recruiters, schedulers and billing team look at what it shows and make the call.
  • Check the records it points to before you confirm anyone or tell a client. Like any AI, it can be wrong or miss something.

How CrewPilot AI is built into each area

CrewPilot isn't a separate tool you go to. It sits inside the screens your team already uses, and its AI agents each watch one part of the agency. What they pick up shows on the AI Ticker at the top of every screen and in the AI Command Center. See How CrewPilot AI Works: Your AI Command Center, AI Ticker and Assistant.

Area What CrewPilot does there The AI agent
Recruiting Reads resumes. Ask a question about one person's resume, or search all resumes at once, such as "Search for Crew Members with forklift in their resume." Recruitment AI
Crew Picks up Crew activity such as messages and pay rate changes, so your team sees it as it happens Crew AI
Compliance Reads license images and watches credentials, so expiring and expired ones are seen in time Compliance AI
Jobs and the day of the job Paste a client's emailed order and it prepares a job draft for you to review and save. It picks up job changes, and on Daily Pulse it can narrow the list for you. In Send Message, the AI menu drafts a reminder email for everyone working today Workspace AI and Ops Intelligence AI
Timesheets Select up to 100 timesheets on Admin Timesheets and ask it to check them. It shows which are ready and which need attention, such as a missing clock-out. Nothing changes until you choose to apply the approval Ops Intelligence AI
Clients Watches client activity and KPIs, so your team sees how each client relationship is going Client Health AI
Finance Watches rates, invoicing and margin Financial AI

Where you see it.

  • AI Ticker: the latest event, at the top of every screen, with the agent that picked it up.
  • AI Command Center: everything in one list, with Critical, High and Medium counts, filters by agent and status, and a date range. Items are read-only: click one to open the job, Crew Member, timesheet or client and act there.
  • Ask CrewPilot: the assistant, from the sparkle icon in the system tray. See Ask CrewPilot: Get Answers About NextCrew and Your Data.

Rolling out gradually. We're enabling the AI Command Center one account at a time. It will appear in your workspace as we activate it for your agency, with no action needed on your end.

What runs on its own, and is not AI

Much of what saves your team time in NextCrew is workflow automation. It follows rules your agency sets, the same way every time. It isn't AI. See What NextCrew Automates for You.

  • The assignment notice, the 24-hour reminder, and the clock-in and clock-out reminders.
  • Change notices to confirmed Crew when a job changes.
  • Timesheets built from clock-in and clock-out, and optional timesheets for completed jobs.
  • Overtime calculated on the timesheet.
  • Timesheets marked Paid when you export payroll.
  • Invoices created in batches, with each timesheet marked Invoiced.
  • Recurring orders created on a schedule.
  • A note on the Crew record when their HR status changes.
  • Onboarding workflows that send emails and create tasks.

How to tell the difference: automation does a set thing when a set event happens. CrewPilot reads, sorts, answers and drafts, and then a person decides what to do.

What we chose not to do

  • We didn't add a chat box to old software and call it AI. CrewPilot is built into the records and screens your team already works in, so it reads your real jobs, Crew, timesheets and clients.
  • We don't rank candidates or matches. CrewPilot helps you search and read resumes. Your recruiters decide who is right for the job.
  • We don't let AI act on its own. It doesn't book Crew, pay anyone or close items for you. It drafts and checks; your team decides and saves.
  • We don't hide how it got there. View steps shows how CrewPilot reached an answer, and every item in the Command Center opens the record behind it.

How to try it

Open CrewPilot from the sparkle icon in the system tray and type a question the way you'd ask a colleague. No training is needed. CrewPilot AI is on for every NextCrew 2.0 agency. If you don't see the sparkle icon, contact NextCrew support.

Questions to start with:

  • "How do I add a Crew Member?"
  • "How do I use groups?"
  • "Show me open jobs for this week."
  • "Who is working today?"
  • "Search for Crew Members with forklift in their resume."
  • On a Crew Member's resume, click Analyze and ask: "Has this person worked with forklifts?"

Tasks to try this week:

  • Copy a client's emailed order, paste it into CrewPilot and ask it to create the job. Review the draft and save it.
  • Before payroll, select the week's timesheets on Admin Timesheets and ask CrewPilot to check them.
  • On a job day, open Send Message and use the AI menu to draft the reminder for everyone working today. Read it, then send it yourself.

If an answer isn't what you meant, ask again with more detail, such as a date, a client or a position.

A worked example

One morning at an agency. An example, not a real agency.

  • 7:45. The scheduler signs in. The AI Command Center shows one Critical item: a Crew Member's license on tomorrow's job has expired. She opens the Crew Member's record and lines up a replacement.
  • 8:10. A client emails an order for next week. She pastes the email into CrewPilot and asks it to create the job. She checks the address and the start time on the draft and saves it.
  • 8:30. A recruiter needs someone with forklift experience. He asks CrewPilot to search resumes, opens the three Crew Members it shows and calls the one he thinks fits best.
  • 9:00. Clock-ins show on the AI Ticker as Crew arrive. The scheduler uses Daily Pulse to message the one who hasn't clocked in.
  • Friday. Before payroll, the timesheet lead selects the week's timesheets and asks CrewPilot to check them. Two are missing a clock-out. She fixes those, then approves the rest.

You're set up when…

  • ☐ Your team can open CrewPilot from the sparkle icon.
  • ☐ Crew records have positions, credentials with expiry dates and resumes.
  • ☐ Job addresses are picked from the address search.
  • ☐ Crew clock in and out in the app.
  • ☐ Your reminder timing and no-show minutes match your policy.
  • ☐ Someone opens the AI Command Center each morning, once it's active for your agency.
  • ☐ Your team knows that CrewPilot drafts and checks, and people decide.

An answer looks wrong AI can be wrong or miss something, or the records it read are incomplete Open the records it shows and check them. Fix the record if the data is wrong
The Command Center list looks empty The date range or a filter is too narrow Widen the date range or clear the filters
