Tell everyone about a job and you get the wrong people and tired Crew. Tell too few and it sits open. The Privacy setting decides who hears about it.
Summary
Every job has a Privacy setting: Public, My Crew, Private, Verified or Inactive. With My Crew, NextCrew notifies the Crew Members who fit: the right position, close enough to the job, and with history at the client. Notifications go out in an overnight batch unless you choose Notify Now. What goes wrong: an urgent job left on the overnight batch, so nobody hears about it until the next morning.
How to do it
- When you add or edit a job, pick its Privacy.
- For My Crew, narrow the Job Match Radius on the order's Configuration tab if you only want people nearby.
- For Private, click Invite and choose the people.
- For an urgent job, click Notify Now, and consider Auto-Confirm.
- Watch the job's offers for interest, and confirm.

That's the right people told. Read on for when to use each setting.

Why this is faster than a group text
| Without NextCrew | In NextCrew |
|---|---|
| Text everyone on the list and hope | Only Crew Members who fit the job are notified. |
| Call around to find out who's free | People already booked at that time aren't offered the job. |
| Chase replies across texts and calls | Interest shows on the job's offers, ready to confirm. |
The five privacy settings
| Setting | Who sees it | Best for |
|---|---|---|
| Public | Everyone, including people not yet in NextCrew. It goes to your job board. | Broad recruiting and hard-to-fill roles |
| My Crew | Crew Members registered with you who fit the job and are close enough to it. | Most everyday jobs |
| Private | Only the people you invite. | A client who wants particular people, or specialized roles |
| Verified | Only Crew Members marked Verified on their profile. | Jobs that need credentials checked first |
| Inactive | No one. Confirmed Crew Members are told it's canceled, and their offers change to Canceled. | A canceled job. Use it instead of deleting, so the record stays |
An admin can set a default for jobs your team creates, and a different default for jobs clients create. Many agencies set client-created jobs to Private, so they review them before anyone is notified. See Site Configuration Settings Explained.
How NextCrew picks who to tell
For My Crew jobs, NextCrew notifies Crew Members based on your configuration:
- Position: it matches the job's position.
- Distance: they're within the job match radius. The company default might be 50 miles, and you can narrow it for one order on its Configuration tab.
- History: whether they've worked for the client before.
- Availability: people already booked at that time, or who've blocked it off, aren't offered the job.
- The client's wishes: people marked Not Allowed on the client's Crew Preference tab don't see that client's open jobs.
Some things still need your judgment: whether someone can lift heavy loads, has a car, will travel 40 miles, or holds a license this client asks for. Tag Crew Members with these so you can find them fast. See Find Candidates by Skill.
Sending the right people matters more than sending anyone. A client who gets the wrong person often doesn't order again.
When notifications go out
| Option | What happens | Use it for |
|---|---|---|
| Overnight batch (default) | New My Crew jobs are sent together overnight. | Jobs a few days out |
| Notify Now | Notifications go out as soon as you click it. | Anything for today or tomorrow |
| Notify At | Notifications go out at the time you pick. | Releasing jobs at a set time |
Three ways agencies fill jobs
| Style | How it works | Use it for |
|---|---|---|
| Open | My Crew. Crew show interest, you confirm. | Most jobs |
| Closed | Private. You invite people, they show interest, you confirm. | Specific skills, or a client who wants particular people |
| Instant | Invite people and turn on Auto-Confirm. The first to accept is confirmed, with no step for you. See Auto-Confirm. | Last-minute jobs where anyone you invited will do |

When a Crew Member can't see a job
| Check | If so |
|---|---|
| 1. Is the job Private or Verified? | Invite them, or mark them Verified if they are. |
| 2. Is the job outside their distance, or is a ZIP code wrong? | Fix the address on the job or on their profile, or widen the Job Match Radius on the order's Configuration tab. |
| 3. Are they already booked, or have they blocked that time? | They can't take both. Check their calendar. |
| 4. Does their profile have the job's position? | Add the position if they're qualified. |
| 5. Are they marked Not Allowed on the client's Crew Preference tab? | That's why. Talk to the client if it should change. |
| 6. Does your account require a hire date before Crew see jobs? | Add their hire date once they're hired. |
| 7. Is a group or location permission blocking them? | Ask your NextCrew admin to check permissions. |
