You need to tell thirty Crew Members about new shifts, or remind a client to approve timesheets. Write it once, pick the people, and send.
Summary
Click Add Message, choose your recipients, write the message and pick how it goes out: Email, SMS, Push or any mix. Each person gets their own copy, so they reply to you, not to everyone. Use Macros to put each person's name in the message. Texts only go out if texting is set up for your agency.
How to do it
- Go to Messages › Inbox and click Add Message. Or open a Crew Member's record and click Add Message there.
- Click 0 Recipients to pick who gets it. Use Quick Filters to narrow the list, tick the people you want, then click Done.
- Type a Subject and your message. To start from a saved message, pick a template from the menu at the top.
- Under Notify by, tick Email, SMS, Push or more than one.
- Click Send. Or click Schedule to send it later.
When you would use this
Open shifts: filter Crew by position and distance, then tell them what's available.
Expiring licenses: filter by tag or HR status and remind everyone at once.
Client reminders: switch Roles to Client and remind site managers to approve timesheets.
Office news: switch Roles to Admin to reach your own team.
That's a message sent. Read on for choosing recipients and personalizing it.
On this page
Choose recipients
The recipient list opens with Crew Member selected under Roles. Change it to Client or Admin to reach clients or your own team.
Quick Filters narrow the list. You can filter by office location, HR status, position, whether they're working, availability, group, tag, distance, state, verified and rating, among others.
Tick people one by one, or use the tick box at the top to select everyone on the page. The Selected tab shows who you've picked.
Put each person's name in the message
Click the <> button at the end of the toolbar to open Macros. Pick one to add it where your cursor is:
- Recipient's Name, First Name, Last Name or Preferred Name
- Recipient's Email or Login ID
- Forgot Password Link
Each person sees their own details. "Hi {Recipient.FirstName}" arrives as "Hi Ana".
How it goes out
| Option | What the person gets |
|---|---|
| An email with your subject and message | |
| SMS | A text message. Needs texting set up for your agency. Keep it short, and don't rely on formatting |
| Push | A notification from the NextCrew app, if they have it |
Tick more than one to reach people wherever they look first.
Add a file
Click Attach to add a file, such as a site map or a policy.
