Reach every crew member in one click — no phone tree needed
❖ Goal
Help you send messages to individuals or entire groups, schedule communications in advance, and reach crew via SMS, email, or app push — all without leaving NextCrew.
❖ Overview
Miscommunication is one of the top reasons shifts go wrong. NextCrew's messaging module lets you reach your entire crew, a filtered group, or a single person — via their preferred channel — in seconds. Every message is logged, tracked, and visible inside crew and client profiles. This is a Core Operations skill — every user across all roles sends messages in NextCrew.
❖ Typical Challenges
- Sending the same message 50 times individually because there is no group tool.
- Not knowing if crew received or read your message.
- Forgetting to send pre-shift reminders until it is too late.
✅ How to Do It in NextCrew
a) How to send a message
Go to Messaging → New Message. In the To field, type a crew member name, a group name, or a pre-defined location/skill group. Compose your message, choose your channel (email, SMS, push notification), personalize with macros like {FirstName}, and hit Send.

b) How to schedule a message
Compose your message as normal. Instead of clicking Send, click Schedule, set the date and time you want it delivered, and confirm. View all upcoming scheduled messages under Sent Messages.
c) How to create and reuse templates
Go to Messaging → Templates → + Add Template. Write your message once, name it (e.g., 'Pre-Shift Reminder' or 'Welcome New Crew'), and save. Your whole team can reuse it with one click — keeping communication consistent and saving time every day.
⚡ Automation & AI — What Happens Automatically
- Job posting and changes automatically push notifications to crew without you writing a single message.
- Messages are delivered via each recipient's preferred channel — no guessing whether they prefer texts or emails.
- All message history is automatically stored in crew and client profiles for full communication transparency.
❖ Integrations
- Messages sent from Workspace jobs and offer actions are fully integrated — job confirmations, cancellations, and reminders all use the messaging engine.
❖ Best Practice Guide
- Build a library of 5–10 reusable templates for your most common scenarios: pre-shift reminder, cancellation notice, welcome message, and onboarding nudge.
- Use {FirstName} and other macros to personalize mass messages — people respond better when it does not feel like a blast.
- Schedule Monday morning announcements on Friday afternoon — never forget them again.
- Use pre-defined location and skill groups as your recipients instead of building lists manually every time.
❖ Measure Your Success — Key Reports & Dashboards
- Message delivery rate per channel (SMS vs email vs push notification).
- Response or open rate for key message types.
- How many messages use templates vs are written from scratch — a high from-scratch rate means you need more templates.

- Send a welcome message to any new crew added this week.
