Overview

HR Management is the lifeline of a staffing agency — happy crew equals happy clients. Recruiting takes valuable effort, and retaining talent ensures long-term success. While many HR tasks can be automated, the human touch remains essential to building loyalty and engagement.

NextCrew HR Module helps you form a technology bridge between your agency and your workforce, making workers’ lives easier while ensuring your internal team has quick access to accurate data. Workers expect technology that is intuitive and efficient, but real connection still comes from the human side of staffing.

Managing HR effectively means: - Creating an excellent workforce experience powered by technology - Keeping workforce and compliance data current for filling jobs faster - Reducing communication inefficiencies and repetitive admin work - Maintaining audit-ready compliance (licenses, certifications, and credentials) - Capturing behavioral, preference, and skill data for smarter job matching - Building great relationships with your crew members

Crew Detail Overview

All HR data is organized across two screens: the Crew Members list (your master view with filters and saved views) and the Crew Member Detail screen with six tabs (Personal, Compliance, Jobs, Payroll, Preferences, Violations). Everything’s organized so you can find what you need in seconds.

  3. Handle Violations — Document incidents same-day (5 mins per incident)
  4. Update Payroll Information — Process W-4s and direct deposit changes (3 mins each)
  5. Welcome First-Day Crew — Send welcome messages to reduce no-shows (2 mins/morning)
  6. Check Milestone Alerts — Send birthday/anniversary messages (5 mins/morning)
  7. Review Termination Requests — Process exits with documentation (10 mins each)
  8. Update Crew Records — Add skills, certifications, preferences (3 mins each)

New Crew Orientation & Self-Service Setup

New hires complete a self-service orientation checklist before their first shift:

  1. Download the mobile app — iOS or Android
  2. Complete their profile — Contact info, emergency contacts, availability preferences
  3. Upload required documents — I-9, W-4, state tax forms, certifications
  4. Review and acknowledge policies — Safety, attendance, dress code, client expectations
  5. Set communication preferences — Choose SMS, email, or push notifications
  6. Complete compliance requirements — Background check authorization, drug screening (if applicable)

HR monitors completion through the Onboarding Dashboard and follows up on missing items. System sends automated reminders for incomplete steps.

❓ FAQ

Q: How do I know if a worker’s certification is about to expire?

A: Go to HR → Crew Members → Filter → Compliance Status = “Expiring in 30 Days”. Save this as “Compliance Alert” for one-click access. System also auto-sends alerts at 90/60/30 days before expiry.

Q: Can I bulk update worker information?

A: Yes. Select workers → Bulk Actions. You can bulk update: tags, groups, rates, availability, communication preferences. Cannot bulk update: certifications, licenses, personal contact info (these need individual verification).

Q: What’s the difference between terminating vs marking inactive?

A: “Inactive” = temporary (seasonal, on leave). They keep app access. “Terminated” = permanent. They lose app access, profile is archived. Use Inactive for temporary situations only.

Q: How do I prevent workers from being assigned to specific clients (DNR)?

A: Worker’s Crew Details → Client Preferences tab → Add to “Do Not Return” list with reason. System prevents assignment. Worker sees “Not available for this job.”

Q: What reports should I review weekly vs monthly?

A: Weekly (Monday AM): Compliance expiring in 30 days, Profile completion, Violations by type. Monthly (1st of month): Retention rate, Communication effectiveness, Profitability top 20, First-time fill trend. Quarterly (every 90 days): Full compliance audit, Unemployment claims analysis, Retention by hire source.

Q: How do I handle workers who frequently miss shifts but haven’t violated rules?

A: Track in Notes tab (not formal violation). After 3 no-call-no-shows in 90 days → formal violation. Before that, use “priority score” to lower visibility in job matching. More reliable workers get first access.
