Integrations: Connect the Tools You Already Use

Your agency already uses tools for texting, background checks and payroll. NextCrew connects them, so your team works in one place and nobody types the same details twice.

Summary

NextCrew connects to other software in three ways. App Marketplace apps, in Settings › App Marketplace, let you use a partner's service from inside NextCrew. Exports send your hours to your payroll company and your invoices to QuickBooks as files you import. The API and webhooks connect anything else. Some partners charge for their service, so there may be a cost. What goes wrong: adding an app before you have the partner account and the details it asks for.

Set it up once

  1. Go to Settings › App Marketplace and open Find Apps.
  2. Add the apps for services you already use. Start with texting. See Turn On Text Messaging with Twilio.
  3. On My Apps, click Configure and enter the details from your partner account.
  4. Find your payroll company's export in Reports, and run it each pay period.
  5. For anything else, create an API key on your Profile and give it to your developer.

Payroll and accounting exports

Each payroll company has its own export, in the format it expects. Run it in Reports for the pay period, download the file and import it. NextCrew marks the exported timesheets Paid. See Export Payroll to Your Payroll Company.

Invoices go to QuickBooks the same way: run the QuickBooks Invoice Detail Export, then import the file. It's a file you import, not a live connection. See Export Invoices to QuickBooks.


The API, for everything else

The NextCrew API lets other software read and update your data: Crew Members, clients, orders, jobs, offers, timesheets, reports and lookup tables. Webhooks tell your other software the moment something changes.

Create a key on your Profile, on the API Keys tab, and give it to your developer with a link to api.nextcrew.app. See Connect Other Software with the NextCrew API.

⚠️ Watch out

Never send an API key by email or chat. Anyone with it can reach your data.


Questions people ask

Do apps cost extra?

Some partners charge for their service, so there may be a cost. Check with the partner.

Do I need an account with the partner?

For most apps, yes. Set it up first, then add the app.

Is QuickBooks a live connection?

No. It's a file you export from NextCrew and import into QuickBooks.

Can we connect software that isn't listed?

Yes. Your developer can connect it with the NextCrew API.
