Keep Crew Records Current: What Crew Update and What You Update

Every address change, new certificate or new bank account used to mean a phone call and someone in your office typing. Most of it doesn't need to.

Summary

Crew keep most of their own details current in the NextCrew app: name, email, birthdate, address, social media, photos, work history, licenses, certifications and bank details, and positions if you allow it. Your office keeps the rest: HR details, rates, pay classification, tags, groups, notes and violations, and checking what Crew upload. What goes wrong: Crew who never open the app, so their records go stale and your office ends up doing it all.

How to do it

  1. Invite every new Crew Member to the app as part of onboarding.
  2. When someone calls with a change they can make themselves, send them the Crew guide for it (links below) instead of typing it in.
  3. Verify licenses and certifications as they come in.
  4. Keep your side current on the record: HR tab, positions and rates, tags and groups. See Anatomy of a Crew Member Record.
  5. Watch Mobile Adoption at the top of HR › Crew Members. It shows how many of your Crew use the app.

Get Crew using the app

  • Check Mobile Adoption at the top of HR › Crew Members. The higher it is, the less your office has to type.
  • On a Crew Member's record, the Account box shows Last Active On. A blank or old date means they aren't using the app.
  • Make the app part of onboarding, and show new hires how to update their own details on day one.
  • When someone calls with a change, walk them through doing it in the app once. They'll do it themselves next time.
