Update the Rates on an Order

The rates on an order come from its rate configuration. If the client's rates changed, the order has no configuration, or someone picked the wrong one, fix it on the order and refresh its jobs. You don't need to open each job.

Summary

Every order uses one rate configuration. You see it on the order's Overview tab, under Client Information. Changing it doesn't change the jobs already on the order. Refresh Rates On All Jobs, in the order's ⋮ menu, does that: every job on the order takes the order's rates in one step. What goes wrong: changing the rate configuration and not refreshing, so the jobs keep the old rates.

How to do it

  1. Go to Workspace › Orders and open the order.
  2. On the Overview tab, click EDIT on Client Information.
  3. Pick the right Rate Configuration and click Update.
  4. Click ⋮ at the top right of the order and choose Refresh Rates On All Jobs.
  5. Open one of the order's jobs and check its pay rate and bill rate.

When you would use this

The client's rates changed. You already created orders for the new period with the old rates. Switch each one to the new configuration and refresh it.

The order has no rate configuration. It was created without one. Add one, then refresh.

The wrong one was picked. Someone chose another client's or last year's configuration. Pick the right one, then refresh.

On the order's Overview tab, EDIT on Client Information opens this panel. Pick the rate configuration, then click Update at the bottom.

Then refresh the jobs

Click ⋮ at the top right of the order. Refresh Rates On All Jobs puts the order's rates on every job in it.

Only this order changes. The client's default rate configuration and their other orders stay as they are.


What to check afterward

  • A job's rates. Open one job and check its pay rate and bill rate.
  • Anyone on their own rate. If a Crew Member is Rate Locked and should now be on the new rates, untick Rate Locked on their offer and refresh again.
  • Timesheets already created. Check them, and fix any that show the old rate on the timesheet itself.

Recurring orders

A recurring order makes each new order with the rate configuration it has now. Change the rate configuration on the recurring order itself, then refresh it, so the orders it makes from then on use the new rates.


An order with jobs before and after a rate change

Refreshing changes every job on the order. If only the jobs from a certain date should get the new rates, move those jobs to an order that uses the new configuration first, then refresh that order. See Move a Job to Another Order and Plan a Rate Increase.

Questions people ask

Do I have to update each job one by one?

No. Change the order's rate configuration, then choose ⋮ › Refresh Rates On All Jobs. Every job on the order takes the new rates.

Does it change the client's other orders?

No. Only the order you refreshed. Do the same on each order that needs it.

Does it change the client's default rate configuration?

No. Change that on the client record. See Set Up Rate Configurations for a Client.

If I delete an old rate configuration, do the rates on my jobs change?

No. Rates already on jobs, offers and timesheets stay as they are.
