Let Clients See Who's On Site

Your client wants to know who is on site right now, without calling you. The client portal can show them.

Summary

Client users see each Crew Member's check-in status, live, in the client portal. That saves the 'is anyone there yet?' call. It also means the client learns about a no-show when you do. This is different from the Staff List, which is a snapshot at one moment. What goes wrong: a client reads the Staff List as live and thinks someone is on site who isn't.

How to do it

  1. Give the client contact portal access. See Set Up Client Portal Access.
  2. Show them the Daily Pulse widget on their Home dashboard.
  3. Walk through the On-Site Status column on a day they have Crew booked.
  4. Tell them the Staff List is a snapshot, not live.
  5. Agree who calls whom when someone is missing.

When you would use this

A new client who calls every morning. Show them the live status in their first week. The calls usually stop once they trust it.

A site with staggered start times. The client can watch each group check in without ringing you.

After a no-show. The client sees the replacement check in, which says more than a phone call does.

That is your client able to see their own site. Everything below is for when they ask what a status means or why a name is missing.


What the client sees

On their Home dashboard, the client's Daily Pulse widget lists each Crew Member booked at their site. Its On-Site Status column is live, and changes as Crew clock in.

The widget also shows each Crew Member's photo, phone, job title, position, start and end time, and on-time percent.

It's the client's view of the same clock-ins you see on Daily Pulse. If a client doesn't see the widget, they can add it to their dashboard with ADD.


Give them access

A client contact needs a portal login first. See Set Up Client Portal Access.

Walk them through the screen once, on a day they have Crew booked. Seeing their own people check in lands better than a demo.


Staff List is a snapshot, not live

The client portal also has a Staff List. It downloads as a PDF or a spreadsheet. It shows who was booked at the moment it was made.

⚠️ Watch out

A Staff List does not change after it is made. If a client prints it at the start of a job, it won't show a no-show or a replacement. Point them to live check-in status instead.


Agree what happens when someone is missing

Live status means the client may spot a no-show at the same time you do. Agree three things up front:

  • Who calls whom when someone isn't there.
  • How fast you'll confirm a replacement.
  • Who on their side needs to know.

Questions people ask

Can the client change clock times?

Yes. In their Timesheets list, a client user can edit clock-in and clock-out times, breaks and hours. Agree with each client whether they'll change times there or tell you.

Is the Staff List live?

No. It's a snapshot at the moment it was made.
