Search, Filter and Sort Any List

You know the person or job is in there somewhere. Here is how to find it in seconds, on any list in NextCrew.

Summary

Every list has a search box, a Filter button, sortable columns and a column chooser. They work the same on Crew Members, Clients, Orders, Timesheets, Tasks and the rest. The one thing that catches people out: some lists open with a filter already on. Check the number on the Filter button before you decide something is missing.

How to do it

  1. Open the list from the menu, for example HR › Crew Members.
  2. To search, pick the field next to the search box (such as Name), then type.
  3. To narrow the list, click Filter, set what you want, then click Apply Filters.
  4. To sort, click the arrow next to a column name. Click again to reverse it.
  5. To add or hide columns, click the gear icon at the top right of the list and tick the ones you want.
  6. To group rows, open a column's menu and choose Group.

When you would use this

A client calls about a Crew Member. Search by name on Crew Members and you are on their record in seconds.

Someone asks how many open jobs a site has. Filter Orders by client, then read the count at the top right of the list.

The search box looks in one field at a time. The field name sits just left of the box, for example Name or Client Name. Click it to search a different field.


Filters

Click Filter to open the filter panel. Each list has its own filters. Tasks, for example, can be filtered by due date, who they are assigned to, status, priority and category.

Set as many filters as you need, then click Apply Filters. The number on the Filter button tells you how many are on. Click the pin icon to keep the panel open while you work.

Some lists start with a filter on. Tasks, for example, opens with a date range already set. If a record seems to be missing, check the filters first.


Columns, sorting and grouping

  • Show or hide columns: click the gear icon at the top right of the list. Search for a column, then tick or untick it.
  • Sort: click the arrow next to a column name.
  • Group: open the column's menu and choose Group. Rows are then grouped by that column. Choose Unsort in the same menu to clear a sort.
  • Rows per page: change the number at the bottom of the list.

To keep your changes for next time, save them as a view.


Card and list layouts

Some lists, such as Crew Members, can be shown as cards or as a table. Use the layout icons next to the search box to switch.
