Ever wondered how to stay on top of important messages when key team members are away or on leave? Imagine this: your staffing manager is taking some well-deserved time off, but messages keep coming into their inbox. How do you make sure nothing falls through the cracks?

Traditionally, teams create a shared company email account that everyone can access. While that works, it quickly becomes messy, impractical, and hard to scale—especially if you want to keep things organized for different departments or groups.

That’s where message sharing by groups comes to the rescue! With the shared messages feature in our Messaging module, you can easily set up groups where every member can see and respond to incoming messages. No more hunting around or worrying about delayed replies—just seamless, real-time collaboration.

Ready to take the stress out of managing your team's messages? Let’s explore how you can harness the power of shared messages and keep your crew connected, no matter what.

Step-by-Step Instructions

1. Open the Inbox

  • Navigate to the Messaging module within your application.

  • Click on the Inbox to view your messages.

2. Toggle "Show Only Mine" Button

  • Locate the Show Only Mine toggle button at the top of the Inbox.

  • Turn OFF the "Show Only Mine" toggle.

    • This action will display all messages, including those shared with you by others.

    • If the toggle is ON, you will only see messages that you sent or received directly.

3. View Shared Messages

  • Once the toggle is off, your Inbox will refresh to show both your own and shared messages.

Tips

  • If you want to return to viewing only your messages, simply toggle "Show Only Mine" back ON.

  • Use search or filter options for easier navigation if you have many shared messages.
