One late arrival is a bad day. Three is a pattern. You can only see the pattern if every one was written down.
Summary
A violation is a dated record on a Crew Member, such as a no-show, lateness or a safety issue, with a category and what happened. Your team sees it again when it matters: a warning when you confirm them for a job, a red alert icon on their record, the count on their Crew Stats, and the Violation Report. Crew and clients never see violations. What goes wrong: recording it in an email or a note instead, so nobody sees it next time.
How to do it
- Open HR › Crew Members and click the Crew Member's name.
- On the Overview, find Violations and click + ADD.
- Pick the Violation Category, and the Client if it happened on a client's job.
- Write what happened, or pick a template from the menu at the top to start from.
- Click Add. The date is stamped for you.

Why record it in NextCrew
| Without NextCrew | In NextCrew |
|---|---|
| Incidents buried in emails and texts | Every violation is dated and kept on the Crew Member's record. |
| Confirming someone without knowing their history | NextCrew warns you when you confirm someone who has violations. |
| Nobody notices the same problem across a site | The Violation Report shows patterns across your Crew and clients. |
| Every manager writes it up differently | Categories and templates keep write-ups consistent. |
What to fill in
| Field | What to enter |
|---|---|
| Violation Category | The kind of problem, such as Attendance & Punctuality or Safety & Compliance. Your administrators set the list. |
| Client | The client whose job it happened on, if any. |
| What happened | The facts, in plain words: what, when and where. You may read this months from now. |
| Template | The menu at the top. Pick one to start from a standard write-up. |
⚠️ Watch out
The Save button beside the template menu overwrites that template with what's in the box. It doesn't save the violation. Click Add to save the violation.
Templates are personal to your login. Agree a house format as a team so write-ups match.
Where your team sees it afterward
- When confirming someone for a job: NextCrew warns you that they have violations.
- On their record: a red alert icon beside their name and position.
- On Crew Stats: the Violation Count, on the record and when you hover over their name.
- In Reports: the Violation Report, across all your Crew and clients.
Violations are internal. Crew and clients don't see them.
Spot a pattern early
- Run the Violation Report regularly, and look for the same category repeating.
- The same person again and again is a conversation to have with them.
- The same category across many Crew at one site often points to the site, the briefing or the job, not the people.
When it's time to act
Your violations, notes and documents are the record of what happened. If you decide to end someone's employment, see Terminate or Rehire a Crew Member. Check with whoever advises you on employment law about how you handle it.
Violations are close to permanent
- A violation can't be edited once it's added, so check it before you click Add.
- It can only be deleted by an administrator with the permission to delete violations.
When a client complained
If the violation came from a client complaint, there's more to record on the client side. See Record a Client Incident.
