Before you can recruit anyone, candidates need a way in. NextCrew gives you several, and you choose which ones stay open.
Summary
Candidates can register from your NextCrew page, from a link on your own website, from a job they found online, or from an invite you send. Registration asks for their name, email and address first, so you keep the contact even if they stop there. The application then fills their profile for you. NextCrew reminds anyone who doesn't finish, up to three times. What goes wrong: leaving registration open when you want to screen every candidate first.
How to do it
- Decide whether anyone can register, or only people you invite.
- Have an admin set that in Settings › Site Configuration › Recruitment.
- Decide whether your public jobs show on your NextCrew login page.
- Ask your web designer to add your registration link to your own website.
- Choose the registration settings: photo, resume, SSN and office location.
- Ask NextCrew to set up your application pages and any job board feed.
That is the front door set up. Read on for what candidates fill in and what happens after.

The ways candidates reach you
| Way in | How it works | Who sets it up |
|---|---|---|
| Register button on your NextCrew page | Your login page shows Register. Anyone can sign up. | An admin can hide it: Hide Signup Button on Home Page. |
| Your own website | A Register or Apply link on your site opens your NextCrew registration page. | Your web designer adds the link. |
| Jobs on your login page | The Jobs button lists your public jobs. Candidates pick one and register. | An admin: Site Configuration › Company › Show Job Board Button on Login Page. |
| Job boards | Public jobs go to Indeed or ZipRecruiter through a job feed, or through JobTarget. Candidates who click through land on registration. | NextCrew sets up the feed, which may carry a monthly fee. JobTarget is turned on in the App Marketplace. |
| An invite from you | You send a link. They go straight to registration. | You. See Add or Invite Candidates Yourself. |
Some agencies hide the Register button on purpose. They screen people another way, then add or invite only the ones they want in NextCrew. It keeps the database clean.
Which jobs candidates can see
Each job has a privacy setting: Public, Private, Inactive or My Crew. Only Public jobs show on the Jobs button and go out to job boards.
Posting jobs on your own website also helps people find you in search.
What the candidate fills in
- First page: email, first name, last name and address. They click Register.
- Then the application. It can have as many pages as you need. The standard one covers positions, employment history and references.
- Resume and photo upload sit on the main page.
NextCrew sets up the application for your agency. To change the questions, contact NextCrew support.
One question is How did you hear about us? Its choices come from your Referral Sources list. See Set Up HR Statuses and Referral Sources.
What candidates enter fills their profile for you: their resume, licenses, employment history and more. Nobody types it twice.
What happens after they register
- They get a thank-you email straight away.
- Their HR Status is set to New.
- If they don't finish the application, NextCrew reminds them by email on day 1, day 3 and day 6 after they registered. Then it stops.
- When they finish, they see their next step and a link to download the NextCrew app.
Registration settings
An admin sets these in Settings › Site Configuration › Recruitment. Changes save as soon as you leave the field.
| Setting | What it does | Our advice |
|---|---|---|
| Enter Office Location at Signup | Candidates choose an office when they sign up. | Turn on if you have more than one office. |
| Hide Signup Button on Home Page | Removes Register from your login page. | Turn on if only invited people should register. |
| Require SSN at Registration | Asks for a Social Security number at sign-up. | Leave off. Candidates don't like giving it this early. |
| Show profile photo at registration | Shows the photo upload. | Leave on. |
| Require profile photo at registration | Makes the photo required. | Most agencies now require it. |
| Show resume at registration | Shows the resume upload. | Leave on. |
| Require resume at registration | Makes the resume required. | Your call. Required resumes help screening, but some candidates drop off. |
See Site Configuration: What Each Setting Does for every other setting.
