Build and Send Form Packages

You want Crew to fill in and sign the same forms every time, such as a policy they must agree to. A form package bundles the forms, sends them and tracks who has finished.

Summary

A form package is a set of forms you send as one. Each form is made of fields: text to read, boxes to tick, dates, uploads and a signature. There are two kinds. Packages NextCrew builds for you, usually for onboarding, fill in the Crew Member's profile. Packages you build yourself are simple forms: you see who has finished and can export the answers, but the answers don't change the profile. What goes wrong: the Delete button sits next to Update and removes the whole package.

How to do it

  1. Open Form Packages from the left menu and choose Add Package. A blank first form is ready for you.
  2. Name the form, then choose Add New Field for each question, and set it up in Field Properties.
  3. Mark a field Required if everyone must answer it.
  4. Drag forms into the order Crew should see them, then choose Update to save.
  5. Open the package and choose Send To. Pick the people and how to tell them: email, text or app.
  6. Check each person's progress on the package, and open or download what they sent.

That is the package built and sent. Everything below is for choosing the right kind of package and following up.

Use your own package for simple questions and signatures. Ask NextCrew when the answers need to land on the Crew Member's profile.


Start a package

Open Form Packages from the left menu. The list shows each package's name, how many forms it holds and how many people it's assigned to.

  • To start a new one, choose Add Package. A blank first form is created for you.
  • To change one of yours, open it and click the pencil beside its name.

Build a form from fields

Name the form in the box at the top. Choose Add New Field and pick a type.

Click a field to set it up in Field Properties on the right. Each field has a title, which Crew see as the question. You can mark a field Required, or Read-only for text they only read.

Keep forms short, and use Required only where you need it. Crew fill these in on their phones, and long forms don't get finished.


Put forms in order

Drag a form by its handle to move it up or down. Crew see the forms in this order.

The bin icon beside a form removes it from the package.


Save, and the button to avoid

Choose Update to save your changes. Close with the X to leave without saving.

⚠️ Watch out

Delete sits right beside Update. It deletes the whole package, not the form you are looking at.

People already part-way through a package? Don't rework it under them. Build a new package and send that to new people instead.


Send it

  1. Open the package by clicking its name.
  2. Choose Send To at the top right.
  3. Pick the people: Crew Members, your office users or client users.
  4. Edit the message if you like, but keep the FormPackageLink text. It becomes the link they click.
  5. Choose how to tell them: email, text or app notification. Send now, or schedule it for later.

Text needs texting turned on for your account. Save the wording as a message template if you send the same package often.


Track who has finished

Open the package to see everyone it was sent to, with each person's progress.

  • Click the arrow beside a name to see what they sent.
  • Click the download icon to save a copy of their completed form.
  • Click the red reset arrow to send it back to them, when something needs correcting. They complete it again.

For a view across all packages, use Reports › HR & Recruiting › Form Package Activity. Form Submission in the same section shows the answers as a pivot table, ready to export.


Example: add your no-show policy

Many agencies have every Crew Member sign their no-call no-show policy before their first job. Build it as its own package, and send it to new hires alongside onboarding.

  1. Choose Add Package and name the form No-call no-show policy.
  2. Add a Label field and paste in your policy text. Mark it Read-only.
  3. Add a Checkbox: I have read and agree to this policy. Mark it Required.
  4. Add a Signature and a Datepicker, both Required.
  5. Choose Update, then Send To your new hires.
