Overview

Tags are a flexible way to categorize and organize records across the system. While Groups are designed to categorize users, Tags are applied to records such as timesheets, offers, and crew members. In the near future, tags will also be available for orders, jobs, and clients.

By adding relevant tags, you can easily filter, track, and report on different categories. For example:

  • Tag a crew member as “Night Shift” if they are available to work overnight.

  • Tag an offer with “High Rate” to note above-average pay conditions.

  • Tag a timesheet with “Expense” to indicate reimbursable items.



Navigation – How to Add a Tag

  1. Open the record (e.g., timesheet, offer, or crew member).

  2. Scroll or navigate to the Tags section.

  3. Start typing the tag name:

    • Select from existing tags, or

    • Create a new tag by typing it out. (Currently, anyone can create tags.)

  4. Save the record – your tag is now applied.


Functionality Overview

  • Tagging flexibility: Tags can be applied across multiple record types.

  • Open creation model: Any user may create a new tag while tagging.

  • Centralized management: All tags can be renamed, reviewed, or deleted under Settings → Code Tables → Tags.

  • Planned enhancements: Permissions will soon control which users are allowed to create or manage tags.


Managing Tags (Admin)

To manage the overall list of tag names:

  1. Go to Settings.

  2. Select Code Tables.

  3. Choose Tags.

  4. Here you can:

    • Rename tags for clarity (e.g., correct spelling, standardize naming).

    • Delete unused tags.

    • Review all tags currently in use.


Additional Notes

  • Tags are record-specific and do not affect user groups.

  • Use tags consistently to improve filtering and reporting.

  • Keep tags short, clear, and descriptive.


FAQ

Q: Can I prevent users from creating new tags?
A: Not yet. A permission control is under development to limit tag creation to designated users only.

Q: Can the same tag be used across different record types?
A: Yes, tags can span timesheets, offers, crew members, and soon, orders, jobs, and clients.

Q: Do tags affect reporting?
A: Yes, tagging enables you to filter and analyze data more flexibly in reports.


Tip

Establish tagging conventions (e.g., use singular words, capitalize consistently) to keep your tag library clean and easy to search.
