Prerequisites
Access to the Clients module in NextCrew.
Staff must have CRM permissions enabled (adding clients, adding contacts, creating tasks/notes).
Organizational agreement on pipeline stages (e.g. Prospect → In Progress → Won → Lost).
Permission & Configuration
Required Role: Manager or Administrator to add/edit account types (Prospect, Client).
Configuration Tip: Ensure “Account Type” field includes both “Client” and “Prospect.”
How to Assign Ownership: Settings > Staff > Assign to Clients > Select User.
Step-by-Step Instructions
1. Add a New Prospect
Navigate to Clients > + Add Client.
Enter company details (name, address, industry, social links).
Choose Account Type = Prospect.
Save.
Pro Tip: Use lead source fields to always log how the prospect was found. Over time, this helps you measure ROI of outreach channels.
2. Add Contacts
Open the prospect client profile.
Go to Contacts > + Add Contact.
Record name, phone, email, and role/title.
✅ This keeps personal relationships organized even within one company.
3. Manage Information & Stages
Line of Business – Track what industry division or service area this client belongs to for reporting.
Assigned To – Assign a team member to own communications and progress.
Account Status – Update as: Prospect, In Progress, Won, Lost.
4. Track Next Steps with Follow-Up Status
Add/update Follow-up Status to know the next action needed.
Example: “Send proposal,” “Schedule call,” “Waiting on client response.”
5. Create a Task
On the prospect profile page, click + Add Task.
Assign due date, owner, and details.
NextCrew automatically reminds you when the task is coming due.
6. Add Notes
Click + Add Note from client detail.
Use note categories (e.g., Call Log, Meeting Notes, Proposal Sent) to keep context clear.
7. View Your Pipeline
Open Views > + Create View.
Filter by Account Type = Prospect.
Add secondary filters if desired (line of business, follow-up status).
Save.
Now you can instantly track your entire pipeline, see open opportunities, and know what action to take.
Example/Use Case Scenario
A staffing agency identifies ABC Logistics as a prospect.
The sales lead enters the company as a Prospect client in NextCrew.
Contact “John Smith – Operations Manager” is added.
Lead source = LinkedIn outreach.
Follow-up = “Send proposal by Friday.”
Task created: Draft proposal + assign to Jane.
Notes logged after discovery call.
Pipeline view = shows ABC Logistics under “Prospect – In Progress.”
→ The team now knows where ABC stands, who owns the account, and what’s next. Without CRM, this would likely be stuck in someone’s email or forgotten.
Pro Tips & Best Practices
Always log lead source for every new prospect – eliminate wasted spending on underperforming channels.
Keep follow-up statuses short, action-oriented (“Need proposal,” “Close by Q3”).
Schedule tasks during/after every call – never rely on memory.
Review your Prospect Pipeline View weekly in team meetings.
Use loss reasons (price, competitor, no decision) when updating status to learn from trends.
