Timesheet approval is a crucial step to ensure your crew is accurately paid for the work performed for your clients.

NextCrew streamlines this process by allowing your crew to clock in and out via the mobile app, automatically updating timesheets in the system.

Here’s a step-by-step guide to reviewing and approving timesheets in NextCrew.

How Timesheets Are Created

  • Clock-In/Clock-Out: When your crew clocks in and out using the mobile app, their timesheet status is set to 'Crew Approved'.

  • Missed Punch: If a crew member does not clock in, the system automatically creates a timesheet with the status 'Unapproved'.

Step-by-Step Timesheet Approval Process

1. Set the Date Range

  • Use filters to narrow down the timesheets you want to review.

  • Options include custom ranges or pre-set periods like Last 7 Days, Last Pay Period, etc.

2. Review Each Timesheet

  • Ensure all entries are accurate.

  • Verify that pay rates and hours are correct.

  • Check for any missed punches or discrepancies.

3. Approve the Timesheet

  • Change the status to 'Approved' once you’ve confirmed all details.

  • Important: Once approved, neither the crew nor the client can make further changes.

Additional Functionalities

  • Communicate with Crew: If you have questions about a timesheet, you can reach out to the crew directly from the system.

  • Geo-Fencing Map: Click on 'Detail' to view the geo-location of clock-ins and clock-outs for added verification.

  • Overtime Calculation: Overtime (OT) is automatically calculated based on your organization’s configuration.

  • Add or Adjust Timesheets: You can manually add a new timesheet if one is missing, or adjust breaks as needed.

  • Client Approval: If a client approves the timesheet, the status updates to 'Client Approved'.

  • Status Control: If you need more time to review, set the status to 'Under Review'. This prevents others from making changes while you investigate.

Tips & Best Practices

  • Double-Check Before Approval: Once a timesheet is approved, it’s locked for further edits.

  • Use 'Under Review' Status: If you’re unsure about any details, use this status to temporarily lock the timesheet for investigation.

  • Leverage Communication Tools: Don’t hesitate to use the built-in messaging features to clarify discrepancies with your crew.
