This is where the fun begins! As you work through the system you will realize so many things are automated for you by the system. The best way to get familiar with it is by creating a simple job order and see how it works. The most asked question is, what is the difference between jobs and job order. Think of a job order as a receipt of your entire service request from your client. Usually, your client requests more than one position and possibly different times. A Job Order allows you to keep all shifts under one group simplifying invoicing and helps you to easily view all requests for positions at once. You can also easily view who is working on one order at the same time. To simplify this, we are going to outline some simple steps and as you work with it, you will be able to explore other topics to get more comfortable with the system.


Let's get started on creating a job!


1. From the menu, click on Jobs

2. Click on New Job Order

3. Select the basic information for your job order

  • Client Name
  • Contact Name
  • Give it a title e.g. "Spring Event" / "ER Position" / "Order for 03/29"

4. Select the work location and bill location

  • If this location has already been set for the client, it will automatically populate

5. Click on Quick Jobs Edit

  • Now we are ready to add individual jobs. Specify date/time, position count and click "+" to add this position to the order. Repeat this step until all jobs are added then click on UPDATE.

6. By default, jobs are added using the configured privacy setting, but you change it based on the urgency of the job. To learn more about privacy settings click here.

7. For PRIVATE jobs, EDIT the job and click on INVITE then select people who should be invited.

Now, let's go through some of the questions you may have.


Q: What is the difference between PRIVATE and My Crew?

A: When a job is private, you must pick out the people who should see this job and those people would receive this notification via SMS, email or push-notification. You don't need to specify anything, that is the advantage here where your crew will receive the notification based on their own preference.


Q: So are the people automatically picking out shift?

A: No. When your crew receives the notification, they are only indicating that they are interested. Ultimately, you're the one confirming. Once they show their interest it will display in the system and you can confirm people. If you need to confirm them without them showing their interest because you have spoken to them over the phone, just "assign" them.


Q: What happens once I confirm a crew member?

A: The system will communicate with them using their preferred communication method and they can acknowledge it so that you know that they have seen it.


What's next, now that crew members are confirmed for the jobs...

  • 24 hours before the job is going to start, they receive a reminder notification which they can reconfirm.
  • At the start of the job, we will send them a reminder to clock-in
  • Once a crew member clocks-in, you can see that on the Activity>Job Activity screen
  • You can see all the timesheets on Jobs->timesheet screen. Keep in mind that, when a provider clocks-in or out, the app takes a selfie photo and that is attached to the timesheet.
